Nolan Ryan Center Usage Guidelines and Charges at ACC

1.   The Nolan Ryan Center facility has been developed for the use of the College and the general public for common good and, like any other facility on campus, is governed by Board Policy, Section 18.12, “Community Use of College Facilities.”  Charges and fees are assessed based on categories outlined in the College Policy Manual which are: educational, civic, business/commercial, and private use.  Application for the use of facilities is made through the Office of Director, Physical Plant (281) 756-3583.

2.   Fees:

Rental Fees ( Non-profit organizations pay one-half of the rental fees.)
       
Community Room (R-109A & R-109B)
Seating capacity: 216 (Banquet with a head table)
$400.00        1-4 hours (minimum)
$600.00        1-8 hours
$50.00          Each additional hour

Room A (R-109A/access to patio) or Room B (R-109B/access to kitchen)
Seating capacity: 64 (Banquet with round tables)
$300.00        1-4 hours (minimum)
$400.00        1-8 hours
$25.00          Each additional hour

Room R104 (capacity seating – 20-30)
$25.00                   

Serving of Wine/Beer/Champagne Fee (No other type of alcohol is allowed.)
$200.00
Serving of wine/beer/champagne must be approved by the Dean, Financial and Administrative Services.
These fees are designated for use by the ACC Student Drug & Alcohol Task Force.

Non-refundable Cleaning Fee
$150.00        Community Room A & B
$75.00          Community Room A
$75.00          Community Room B

Security Fee                  
$25.00 per hour (3-hour minimum)
This fee will be applied to all events held beyond normal Monday through Friday working hours and for any event at which wine/beer/champagne are served.  Only ACC Campus Police may be used.

Custodial Service Fee  (Optional)
$25.00 per hour (2 hour minimum) per custodian
One (1) housekeeper required for 1 - 100 people
Two (2) housekeepers required for 101 - 200 people

Equipment Fee              
LCD Projector/Screen       $50.00 per day
Laptop Computer              $50.00 per day
Microphone/PA System     $50.00 per day

Media Operator   (Required if using equipment beyond normal Monday through Friday working hours)
$25.00 per hour (2 hour minimum)
Any use of media devices, such as CD, DVD, projector, microphone, audio board etc., requires one (1) college approved media operator.

Deposit    
$250.00        Applies to Community Room only.  Paid at time of reservation.
Refundable if premises (including kitchen and kitchen equipment) are left clean and undamaged.  An inspection of the facility will be conducted following the event.  The user will be responsible for the total amount of any damage repair costs.

Tax
Is 1.0825 multiplied by the total cost of the facility rented (including Room Rental, Security Fee, Custodial Fee, Equipment Fee, Media Fee, & any other fees that may apply).

3.   Any catering or use of the kitchen facilities must be approved by the Dean, Financial and Administrative Services.  The kitchen must be left clean, and all food must be removed by the end of rental time.

4.   Procedures for Serving Wine/Beer/Champagne
a.   The party renting/reserving the Nolan Ryan Center will be responsible for the purchase, delivery, and serving of the wine/beer/champagne and for removing all unused portions of by the end of the rental time.
b.   The party renting/reserving the Nolan Ryan Center must adhere to all state liquor laws.
c.   Alvin Community College Campus Police must be employed for duty during any event at which wine/beer/champagne are served.

    One (1) police officer required for 1 - 100 people
    Two (2) police officers required for 101 - 200 people

5.   Smoking is not allowed inside the building or on any college property.

6.   The physical attachment of any material to the building, inside or out, is prohibited.  Nails, staples, tacks, tape, etc., are not permitted.

7.   No open flames allowed.  Wax on the furniture or floors will result in the forfeit of the damage deposit.

8.   Rice, birdseed, confetti, etc. must be thrown outside of the building only.

9.   Alvin Community College will not be responsible for any items left on the premises.

10.   The party renting/reserving the Nolan Ryan Center is responsible for any damage and/or theft of furniture, equipment or other items.

11.   Reservations for the Nolan Ryan Center should not be scheduled more than nine months in advance.  The deposit and one-half of the charges assessed for the use of facilities must be paid at the time the reservation is made to insure reservation confirmation.  The balance is due prior to the date of the event.
